Start where people will be
Walk from the work zone or gathering space towards the proposed facilities. Note steps, slopes, uneven ground and objects that affect the approach. Discuss suitable accessible provision rather than assuming a wide-door cabin resolves every site condition.
Allow for doors opening, people waiting and nearby washing. Ask the property’s responsible contact to approve the position; a convenient space on a photograph may serve another purpose during the rental.
Describe the supplier’s approach separately
Give the receiving entrance and explain gates, turns or restrictions. Let the provider assess suitability using requested measurements or photographs; do not promise access based only on a passenger vehicle having used the route.
Consider the full rental period. Work materials, event furniture and parked vehicles can change access after delivery, so coordinate with anyone who controls those spaces.
Leave instructions that survive a shift change
Identify who can receive equipment and answer a placement question. Share the accepted layout with the person handling service visits and final collection as well.
If conditions change, contact the provider before moving the equipment yourself. A revised location may affect access, the user route and arrangements already agreed for maintenance.
