Explain where and when activity concentrates
Identify expected busy periods and whether people move between zones or stay in separate areas. Include staff, performers, vendors and cleanup personnel who rely on facilities beyond public opening hours.
Describe permanent amenities that remain available and any restrictions. The rental team needs to understand the remaining requirement, not simply the venue’s overall capacity.
Coordinate facilities with the wider site plan
Discuss toilet positions, accessible approaches and washing alongside food service, temporary fencing and circulation. Keep the layout understandable for both visitors and the teams maintaining it.
Review how a service visit could reach equipment during the programme. A delivery route that later fills with activity may not remain a practical maintenance route.
Arrange a process for changes
Nominate an organiser who can communicate attendance or access changes. Confirm what service is proposed and how additional requirements would be discussed.
For a Coconut Creek festival enquiry, send the known programme and destination. This guide does not replace event permissions or establish a universal quantity formula; equipment and timing need a reviewed agreement.
