Assign responsibility for the layout
Identify who can approve equipment positions and resolve conflicts with other installations. A supplier should not have to choose between contradictory instructions at the entrance.
Discuss user routes, accessible provision and washing with the approved position. Keep the event plan updated if seating, barriers or catering locations change.
Sequence supplier visits realistically
Ask the venue about receiving and removal windows. Explain whether access becomes restricted after other equipment is installed, and coordinate the order of visits with the responsible organiser.
Include service access during the event rather than assuming delivery is the only visit that matters. Leave assessment of vehicle suitability to the provider.
Keep one reliable point of contact
Share the final instructions with someone available during setup and collection. Confirm the equipment and scope in the proposal, including any changes made after the first enquiry.
Use this Coconut Creek page for coordination questions. Wedding and festival pages cover different guest and programme considerations, while the event planning guide helps establish what the venue already provides.
